Who we are
VJ Hokhmah ("we", "us") provides domestic and international recruitment, digital marketing, website development, branding, CRM / automation and business consulting from VJ Hokhmah, 2nd Floor, Dimension Building, Azad Road, Kathrikadavu, Kaloor, Kochi, Ernakulam, Kerala 682017, India. This policy explains how we handle personal data under India’s Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000. It covers this website (www.vjhokhmah.com), our phone and WhatsApp contact, our office visitor check-in, the documents candidates give us, and the information business clients share with us.
What we collect
- Enquiry form: name, mobile number, what you are interested in, your place and your message.
- Calls and WhatsApp: your number, messages and the notes our team writes about your enquiry and call results.
- Recruitment documents (only if you apply): passport, photo, educational certificates (e.g. SSLC), driving licence, Aadhaar, police clearance certificate, medical reports, visa and ticket copies, experience letters, and any cheque leaf or payment proof you hand over.
- Business clients: your name, business name, contact details, and the logins, customer lists or content you share so we can run your marketing, website or CRM.
- Office visit: when you check in with the visitor QR — your name, phone, place, reason for visit, whom you are meeting, a photo (selfie) and your location, used only to confirm you are at our office.
- Website: our server keeps standard technical logs (IP address, browser, pages visited) for security. We do not use advertising or tracking cookies.
Why we use it
- To call you back and answer your enquiry.
- To match candidates with domestic and overseas vacancies and arrange interviews.
- To prepare and check applications, visa, medical and travel paperwork — including checking that name, date of birth and father’s name match across documents.
- To deliver the services a business client has asked for, and to send quotes and invoices.
- To keep the office safe and keep a record of visitors.
- To meet legal duties, such as emigration, labour and tax rules, and to prevent fraud.
We process your data on the basis of your consent, which you give when you submit the form, contact us, hand over documents or sign up for a service. You can withdraw it at any time (see “Your rights”).
Who we share it with
We share only what is needed:
- Employers and their recruiting partners, in India or abroad, for the job you applied for.
- Embassies, consulates, visa and immigration authorities, the Protector of Emigrants and other government offices, where the process requires it.
- Medical centres, travel agents and airlines, for medical tests and tickets.
- Our group brands and partner office (such as Sterling Overseas, Coimbatore), only to process your own application.
- Service providers that help us run our systems: website hosting, WhatsApp, email, advertising platforms used for a client’s own campaigns, and an AI service that may read scanned documents to speed up data entry. They may use your data only to provide that service to us.
- Authorities, when the law requires it.
Some of these are outside India (for example, an employer in the UAE or South Korea). We share data abroad only for your application and only with your consent. We never sell your personal data or share it for advertising.
How long we keep it
- Enquiries and call notes: up to 2 years after our last contact, so we can tell you about new openings or offers.
- Recruitment documents: for as long as your application is active, and then up to 3 years, or longer if the law requires it.
- Business client records: for the length of the service, and invoices for as long as tax law requires.
- Visitor check-in records and photos: up to 1 year.
Original documents you hand over are returned to you on request, with a handover record. After these periods we delete digital copies.
How we protect it
Your data is stored on secured servers with password and location-based access for our staff only. Document files are kept in a protected folder that cannot be opened from the public internet, and we keep daily backups. Physical documents are kept in a recorded storage place at our office. No system is perfectly secure; if a breach affects you, we will inform you and the Data Protection Board of India as the law requires.
Your rights
You can ask us to:
- tell you what personal data we hold about you and who we have shared it with;
- correct or update it;
- delete it, when we no longer need it for your application, service or a legal duty;
- stop using it, by withdrawing your consent (we may then be unable to continue your application or service);
- let a person you nominate act for you if you die or become unable to act.
Email admin@vjhokhmah.com or call +91 96333 36639. We reply within 30 days. If you are not satisfied, you can complain to the Data Protection Board of India.
Children
Our services are for adults. We do not knowingly collect data from anyone under 18. If you think a child has given us their details, contact us and we will delete them.

Our pages link to WhatsApp, Google Maps and our brand websites. Those services have their own privacy policies and may set their own cookies when you use them.
